ABOUT FINANCE & OPERATIONS DEPARTMENT
The Finance & Operations (“FinOps”) Department provides broad-based financial and administrative support across all Shatterproof’s programs to ensure exceptional stewardship of donor funds and progress towards our strategic objectives. The FinOps Department also oversees contracts administration where the goal is to ensure that any commitment of Shatterproof resources and all related agreements are properly reviewed and approved and protect the organization against risk exposure. Government entities are a critical funder and stakeholder fueling Shatterproof’s growth. Thus, Shatterproof is seeking a highly organized and collaborative individual to join the Finance Department as the Contracts Coordinator.

THE ROLE
The Contracts Manager will be responsible for cross-departmental management of all Shatterproof contracts including the full life cycle of government contracts. This includes, but is not limited to, facilitating contract negotiations with project leads, liaising with a third-party legal firm to answer internal and external documentation questions, appropriately logging and tracking invoice and reporting requirements, driving project management of contract renewals, collating materials across departments, aligning contract payment schedules with respective state fiscal years, researching state contract requirements, etc. The successful candidate will be comfortable in a fast-paced environment, able to juggle multiple priorities and competing deadlines, and is extremely detail-oriented. Given Shatterproof’s start-up culture, it is critical that the incoming Contracts Manager possesses an entrepreneurial spirit and is a self-starter. The day-to-day of this position will entail review and successful completion of contracts, administrative tasks in Shatterproof’s CRM platform (Salesforce), and close collaboration with both internal and external stakeholders.This person will be an individual contributor, with no direct reports.

DUTIES AND RESPONSIBILITIES
This position will provide broad-based contractual support and project management to all Shatterproof teams, with a heavy focus on ATLAS and Stigma revenue contracts. Duties and responsibilities include:
• Serve as primary contact – internal and external – for information on contracts policy and procedures for the organization;
• Establish working relationship with third-party legal firm to direct questions, review new and expiring contracts, and ensure compliance;
• Review and facilitate the negotiation and successful execution of contracts between internal leadership and external government partners under the supervision of the CFAO;
• Research contract requirements by state to understand needs and ability to fulfill requirements;
• Recommend procedures and standardized language to streamline processes for existing and future contracts;
• Project manage contract timelines and coordinate with internal team members to ensure timely and accurate deliverables;
• Drive full life cycle of contract agreements, which includes submission of initial paperwork, confirming compliance with insurance requirements (as well as determine
the necessity of said requirements), invoices, execution of receipt of funds, and fulfilling any additional request that requires effective collaboration with respective teams; • Consolidate supporting materials, which could include budget reports, outcome measurements, and success stories;
• Maintain contract files to ensure compliance, funder requirements and other contractual documents, as appropriate;
• Log all relevant contract information into project management tool (Airtable);
• Review major vendor contracts and other agreements (i.e. NDAs, non-compete agreements, grant agreements, etc.);
• Complete applicable state registrations including working with outside firm;
• Assist with special project initiatives as needed, which could include managing ad hoc financial, development and programmatic requests;
• Perform other related duties as assigned by direct manager.
EXPERIENCE
The ideal candidate qualifications include:
• Bachelor’s degree and 3+ years of government contracting experience or relevant nonprofit experience. In lieu of a bachelor’s degree, 8 years of relevant experience, as described above, is required.
• Exceptional communication skills – written and verbal – with demonstrated ability to manage up, down, and across.
• Demonstrated experience with Excel analysis, program budgeting, Microsoft Office and project management tools; PMP certification a plus!
• Ability to prioritize work in an environment with multiple interests.
• Ability to work independently with minimal supervision.
• Experience handling complex and confidential information with discretion.
• Experience with Salesforce and Airtable is preferred.
• Experience in developing and maintaining standardized documentation for grant compliance, ensuring that processes align with grant requirements and reporting standards.
• Ability to think strategically and align operational activities with the broader goals and mission of the nonprofit organization.
• Ability to adapt to the dynamic nature of nonprofit work and quickly respond to emerging needs or changes in the external environment.
• PMP (Project Management Professional) certification or training a plus.
• Passion for Shatterproof’s mission and familiarity with the addiction space is a plus.
• Ability and authorization to work in the US required.
